Musicality Terms & Conditions
Effective from 1 August 2026
These Terms & Conditions apply to all children and young people taking part in Musicality activities. By enrolling a child, their parent, guardian or carer agrees to these terms on their behalf.
1. About Musicality
Musicality is an amateur musical theatre company for children and young people aged 4-18. We provide a safe, welcoming and inclusive environment where members can develop confidence, creativity, performance skills and friendships.
2. Enrolment
2.1 Places are subject to availability and confirmed once registration details are complete and any applicable fees have been agreed.
2.2 Parents/guardians must provide accurate, current contact, medical, allergy, additional-needs and emergency information, and promptly report any changes.
2.3 Musicality may refuse or withdraw a place where necessary to protect the safety or wellbeing of a child, participant, staff member or volunteer.
3. Attendance
3.1 Members should attend regularly, arrive on time and notify Musicality of absences as soon as possible.
3.2 Regular attendance is especially important during productions. Missed rehearsals may affect casting, choreography, staging or participation.
3.3 Musicality cannot guarantee full participation for members who miss rehearsals.
4. Fees and Payment
4.1 Fees are charged per term and must be paid by the date shown on the invoice or payment request.
4.2 Once a place is accepted, fees remain payable for the full term regardless of attendance, unless Musicality agrees otherwise.
4.3 Payment plans may be agreed in advance at Musicality’s discretion.
4.4 Musicality may suspend attendance while fees remain unpaid.
4.5 Fees may be reviewed, with reasonable notice given of any changes.
5. Leaving Musicality
5.1 Parents/guardians must give one full term’s written notice by email or letter if their child wishes to leave.
5.2 Fees remain payable throughout the notice period, whether or not the child attends.
5.3 Musicality may waive or reduce the notice period in exceptional circumstances.
6. Productions and Casting
6.1 Musicality may offer performances, showcases and productions.
6.2 Casting decisions are made by the Musicality team based on factors including production needs, suitability, ability, age, attendance and commitment.
6.3 No particular role or amount of stage time is guaranteed.
6.4 Productions may require rehearsals or performances outside normal session times.
6.5 Any additional production, costume or venue costs will be communicated in advance where reasonably possible.
7. Behaviour
7.1 Members, parents/guardians, staff and volunteers must treat one another with respect.
7.2 Bullying, harassment, discrimination, threats, violence, abusive language and unsafe behaviour will not be tolerated.
7.3 Members must follow reasonable instructions from Musicality staff, volunteers and production leaders.
7.4 Musicality may suspend or end a child’s place if their behaviour is persistently disruptive or puts others at risk.
8. Safeguarding and Collection
8.1 Musicality maintains safeguarding procedures that all relevant staff and volunteers must follow.
8.2 Parents/guardians must share any safeguarding, medical or welfare information relevant to their child’s participation.
8.3 Children must not be left at a venue before the agreed start time unless supervision has been confirmed.
8.4 Parents/guardians must collect children promptly unless another arrangement has been agreed in advance.
9. Health and Additional Needs
9.1 Parents/guardians must disclose relevant medical conditions, allergies, medication and additional needs.
9.2 Musicality will take reasonable steps to support disclosed needs. Significant requirements should be discussed before enrolment.
9.3 Musicality may contact the nominated emergency contact or emergency services when necessary.
10. Photography and Publicity
10.1 Musicality may photograph or record rehearsals and performances for appropriate promotional and showcase purposes.
10.2 A child’s image or recording will only be used in line with the relevant parental/guardian consent.
10.3 Parents/guardians should raise any concerns with Musicality.
11. Clothing and Belongings
11.1 Members must wear comfortable clothing and footwear suitable for musical theatre activities.
11.2 Parents/guardians will be told in advance about any specific clothing, footwear or costume requirements.
11.3 Musicality is not responsible for personal belongings that are lost, damaged or stolen.
12. Cancellations and Changes
12.1 Musicality may cancel, postpone or change sessions, rehearsals, venues or performances due to illness, venue availability, severe weather or other circumstances beyond its reasonable control.
12.2 Musicality will give advance notice where reasonably possible.
12.3 If a significant number of sessions are cancelled, Musicality will consider appropriate arrangements on a case-by-case basis.
13. Complaints and Concerns
13.1 Concerns should be raised promptly with the Musicality team.
13.2 Complaints should normally be made in writing. They will be handled fairly and confidentially, with the welfare of all children considered.
14. Data Protection
14.1 Musicality uses personal information only for purposes connected with safeguarding, communication, administration and delivering its activities.
14.2 Information will be handled in accordance with applicable UK data protection law.
14.3 Parents/guardians may ask what information is held about their child or request that inaccurate information is corrected.
15. Equality and Inclusion
15.1 Musicality welcomes children and young people of all backgrounds and protected characteristics.
15.2 We aim to ensure every member feels welcome, valued and able to participate.
15.3 Parents/guardians should discuss accessibility or support needs so that reasonable arrangements can be considered.
16. Acceptance and Updates
16.1 By enrolling a child, the parent/guardian confirms that they have read and accepted these terms.
16.2 Musicality may update these terms and will notify parents/guardians of significant changes.
16.3 The latest version applies to all current members.
